PH payroll cutoffs: semi-monthly vs weekly for agencies
For a security or manpower agency, the payroll cutoff is the heartbeat of the business. Choose it well and payroll, remittances, and client billing all fall into a clean rhythm. Choose it badly and you spend every fortnight chasing DTRs across posts that were offline when the cutoff locked.
Why cutoffs are harder for agencies
A retail store runs payroll for staff under one roof. An agency runs it for guards spread across dozens of client sites, on 12-hour shifts, some with no signal, many with night differential and holiday premiums. The DTR has to be captured at the post, cleared by a supervisor, and locked before payroll can compute — all inside a few days.
Semi-monthly vs weekly
Philippine law requires wages be paid at least twice a month at intervals not exceeding 16 days. In practice agencies pick one of two rhythms:
| Aspect | Semi-monthly (1–15 / 16–EOM) | Weekly |
|---|---|---|
| Cutoffs per month | 2 | 4–5 |
| Admin workload | Lower | Higher (more runs) |
| Guard cash-flow | Fortnightly | Weekly — often preferred |
| Aligns with client billing | Cleanly (monthly SI) | Needs aggregation |
| Statutory remittance timing | Simple | Simple (monthly regardless) |
Most agencies land on semi-monthly because it aligns with a monthly client service invoice and halves the number of payroll runs — but weekly can be a real retention advantage for frontline guards who prefer weekly cash flow.
Don't forget night differential and holiday pay
Guards routinely work nights and holidays, so a cutoff that ignores premiums will always under- or over-pay. Build these into the run, not into a spreadsheet afterward:
- Night shift differential — an additional 10% of hourly rate for work between 10:00pm and 6:00am.
- Regular holiday — 200% for the first eight hours worked; higher with overtime.
- Special non-working day — an additional 30% for work performed.
- Rest-day and overtime premiums stack on top per the Labor Code.
Structuring cutoffs around posts
Whatever rhythm you choose, three habits keep it clean:
Run the cutoff from one DTR spine.
NexusWorkforce captures attendance offline at the post, clears exceptions, and computes payroll with OT, night differential, and holiday pay built in — then bills the client from the same hours.
